Responsibilities:

Internship: As an intern, you will have an opportunity to interact with members of the company at all levels and become familiar with the necessary skills required for a successful career in event planning. This valuable opportunity is for somebody looking to gain hands-on experience in a small yet professional business environment. This is a part or full-time internship during regular office hours and we would consider a flexible schedule for the right candidate.

Responsibilities are varied and range from event planning assistance to administrative tasks and culinary event support.

Primary responsibilities include:

Event Planning Support:

  • Checking venue availability & managing reservations
  • Coordinating party rental orders
  • Completing beverage order forms
  • Securing fire permits
  • Drafting Event Checklists
  • Receiving alcohol deliveries for events
  • Uploading guest contact information to Salesforce
  • Uploading event photos & emails
  • Managing client correspondence – Writing thank you cards, mailing client survey gifts, etc.

New Venue Research and New Vendor Relations:

  • Performing weekly venue check-ins
  • Researching new Bay Area venues
  • Conducting venue site visits
  • Maintaining venue information sheets
  • Creating digital library detailing sample event set-up (Flickr)
  • Sourcing new vendors

On-Site Event Work:

  • Working occasionally as a server at events (day or evening)
  • Taking video clips at events & creating short event videos for sales use

Account Management & Reporting:

  • Consolidating accounts & contacts in Salesforce
  • Entering client notes into Salesforce
  • Compiling weekly booking reports and monthly KPIs Competitive Research
  • Compile list of team building companies in all locations
  • Perform competitive analysis on culinary team building companies

Requirements

Candidates should be professional, detail-oriented, hardworking, and comfortable on the phone and in person with corporate clients.

To be successful in this role, the candidate must have excellent writing and communication skills, the ability to take initiative and multi-task in an organized manner. Interest in food and cooking is a plus.

Compensation

This is an unpaid 3 month internship with the possibility of turning into a paid position. It’s a great way to get your foot in the door, gain hands-on experience in a small business environment and build quality references.
